Registration Form GI SMART Community Platform

Welcome to the registration form for the GI SMART Community Platform, a Europe-wide collaborative initiative dedicated to fostering the sustainability of Geographical Indications (GIs). This platform provides a dynamic space for stakeholders to connect, share knowledge, and contribute to the advancement of sustainable practices in the GI sector.

The GI SMART Community Platform is structured into two complementary levels:

  • National Multi-Actor Platforms (MAPs): Operating in France, Germany, Greece, Hungary, Italy, Portugal, Spain, Switzerland, and the UK, these platforms facilitate targeted collaboration and engagement within specific national contexts.
  • European Multi-Actor Platform (EU MAP): A central hub bringing together stakeholders from across Europe to address cross-border challenges and shape EU-wide sustainability policies for GIs.

About the GI SMART project: GI SMART is a 4-year research project that will provide evidence-based recommendations to strengthen the contribution of geographical indications (GIs) to sustainable territorial development and the objectives of the EU Farm to Fork strategy. To achieve this, GI SMART will develop tools and methodologies to foster the implementation of sustainability strategies by GIs producers, ensure their recognition by consumers, and formulate policy recommendations for better design of GI policies.

This registration form is collecting your personal information. 1. Purpose of data collection

The personal data and information you provide will be used exclusively to:

  1. Facilitate your participation in the GI SMART Community Platform.
  2. Communicate updates, events, and activities related to the platform and GI SMART project in general.
  3. Analyse stakeholder engagement to improve the project's outcomes.

Your personal data will not be used for any automated decision-making including profiling.

2. Types of data collected

The registration form collects the following information:

  • Personal Information: Name, gender, nationality, age group, education and contact details (email, optional telephone).
  • Organisation Details: Name, country, your role, stakeholder type, and sector.
  • Expertise and Interests: Areas of expertise and interest related to GI sustainability, and motivation for joining the platform.
  • Community Platform Preferences: Platform affiliation (National or EU MAP), preferred country for National MAP, engagement level, and interest in activities.

3. How your data will be processed

Your personal data will be securely stored in the archives of the Association of European Regions for Products of Origin (AREPO), a partner within the GI SMART consortium. Access to this data will be restricted to authorised personnel only, in compliance with GDPR.

The data will be used mainly to manage your participation in the GI SMART Community Platform and to facilitate communication regarding updates, activities, and events related to the project.

Furthermore, aggregated and anonymised data will be used to monitor participation levels, evaluate the impact of the GI SMART Community Platform, and support project reporting requirements to the European Commission.

For analytical purposes, survey data collected as part of stakeholder engagement activities will be anonymised. This means that personal identifiers will be removed, ensuring that individual participants cannot be identified in any reports, publications, or analyses.

4. Data Sharing

Your data will be shared only with authorised project partners within the GI SMART consortium for purposes directly related to the project. We will not share your data with third parties outside the consortium without your explicit consent.

5. Communication and dissemination

As part of the GI SMART project, we are committed to disseminating findings and reports to promote transparency and knowledge sharing. Reports developed to monitor the GI SMART Community Platform, based on the data you provide, may be published on the project’s official website or in other public forums.

To protect your privacy:

  • Any data included in publicly accessible reports will be anonymised to ensure that personal identification is not possible.
  • Aggregated and anonymised data may also be shared in presentations, publications, or other dissemination materials to highlight project outcomes.

This ensures that your participation contributes to the project’s goals while safeguarding your personal data.

6. Data Retention

We will retain your data only for the duration of the GI SMART project and an additional six months to ensure proper reporting and closure of the project.

7. Data Controller

The Data Controller is the Association of European Regions for Products of Origin (AREPO) with headquarters in Hôtel de Région, rue François de Sourdis 14, 33 077 Bordeaux, France, in the person of the Secretary General.

8. Rights of the interested party

At any time, you can exercise, pursuant to articles 15 to 22 of EU Regulation no. 2016/679, the right to:

  1. request confirmation of the existence or otherwise of your personal data;
  2. obtain information about the purposes of the processing, the categories of personal data, the recipients or categories of recipients to whom the personal data have been or will be communicated and, when possible, the retention period;
  3. obtain the correction and deletion of data;
  4. obtain the limitation of the treatment;
  5. obtain data portability, i.e. receive them from a data controller, in a structured format, commonly used and readable by an automatic device, and transmit them to another data controller without hindrance;
  6. oppose the treatment at any time and also in the case of treatment for direct marketing purposes;
  7. oppose an automated decision-making process relating to natural persons, including profiling.
  8. ask the data controller to access personal data and to correct or cancel them or limit their processing or to oppose their processing, in addition to the right to data portability;
  9. withdraw the consent at any time without prejudice to the lawfulness of the treatment based on the consent given before the revocation;
  10. propose a complaint to a supervisory authority.
